This policy sets out the basis on which any personal data we collect from you, or that you provide to us, will be processed by us. We collect personal data about you to provide our services to you and develop our business in accordance with this policy (your ‘Personal Information’).

We do not collect any ‘sensitive data’ (like racial or ethnic origin, political opinions, religious or philosophical beliefs, trade union membership, genetic data, biometric data etc.) except when we have to comply with the law.

We principally collect information through your input, by filling in forms on our site www.adaptwithlauren.com (our site), through meetings or events or by corresponding with us by phone, social media or e-mail.

We process your Personal Information to run effectively our business, for the following purposes:

  • To provide our services to you: for proposals, contracts, invoicing, correspondence, invitations, etc.

We endeavour to take all reasonable steps to protect your Personal Information. We have implemented appropriate technical and organisational measures to ensure appropriate security of processing. Any shared files or folders are password controlled, and agreed with clients in advance of sharing. Computer systems are protected by up-to-date anti-virus software (McAfee) and encrypted. Access to your Personal Information by staff is protected by unique passwords. Our staff and associates are under strict obligations of confidentiality and only relevant staff has access to your data. We also have put in place a procedure to respond to data breaches and we will report it to you or to relevant authorities when required.

  1. Where we store your Personal Information

Data collected by us is stored on secure hosted facilities at Microsoft (using Office365 and OneDrive). Links to Microsoft’s services and privacy agreements can be found here. We may also use DropBox (DropBox Privacy Statement) to share files with you or work on current work or GoogleDrive (GoogleDrive Privacy Policy).

We will only keep your Data for as long as is necessary for the purposes outlined in this policy, unless a longer retention period is required by legal, regulatory and accounting requirements. We have strict review and retention policies in place to meet these obligations and your Personal Information is kept for the length of a sale cycle (4 years).

  1. Transfers and disclosures of your Personal Information

We may share your information with the following third parties:

  • Business partners, associates, suppliers and sub-contractors for the performance of any contract we enter into with them or you. Therefore, when necessary for our contract with you or to comply with your requests, we may share your Personal Information with designers, digital experts, social media experts, printers, telemarketers, copywriters, compliance experts, legal, HR and financial advisors, other specialist trainers or coaches,
  • Service suppliers who provide IT, hosting and system administration services such as Microsoft and DropBox.
  • Analytics and search engine providers that assist us in the performance and optimisation of our website.

When we share your Personal Information with third parties, we always ensure that we have appropriate safeguards in place to protect your privacy and that we share Personal Information in accordance with this policy and Data protection regulations.

We may disclose your Personal Information to third parties:

  • If it is required to carry our client duties, we may disclose your Personal Information to third parties, with the client approval only.
  • In the event that we sell or buy any business or assets, in which case we may disclose your personal data to the prospective seller or buyer of such business or assets.
  • If Adapt with Lauren Ltd or substantially all of its assets are acquired by a third party, in which case personal data held by it about its customers will be one of the transferred assets.
  • If we are under duty to disclose or share your personal data in order to comply with any legal obligation, or to protect the rights, property, or safety of Adapt with Lauren Ltd, our customers or others. This includes exchanging information with other companies and organisations for the purposes of fraud protection and credit risk reduction.

The personal data we collect from you may be transferred to, and stored at, a destination outside the European Economic Area (‘EEA’). It may also be processed by staff operating outside the EEA who work for us or for one of our suppliers. Such staff may be engaged in, among other things, the fulfilment of your order, the processing of payment details and the provision of support services. We will take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this Privacy Policy and Data protection regulations. Therefore, we will provide appropriate safeguards for such transfers, for example by using standard model protections clauses to ensure that our partners and suppliers protect your privacy abroad.

Where we have given you (or where you have chosen) a password which enables you to access certain relevant data, you are responsible for keeping this password confidential and we ask you to not share it with anyone. 

Unfortunately, the transmission of information via the internet and electronically is not completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of your data transmitted to our website or electronically; any transmission is at your own risk. Once we have received your information, we will use strict procedures to prevent unauthorised access.

We only process your personal data in accordance with this Privacy Policy and in compliance with Data protection regulations.
